This policy explains how Aus Technova Pty Ltd (ABN 30 702 091 263) (“Austechnova”, “we”, “us”) collects, uses, stores and discloses personal information. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website or services, or by giving us your information, you agree to us handling it as described here.
1. What personal information we collect
Depending on how you deal with us, we may collect:
- Contact details such as your name, email address, phone number, job title and business name.
- Enquiry and project information you choose to share, such as your website address, what you need help with, and messages you send us.
- Account and billing information such as billing contacts, invoices and payment records. We don’t store full card numbers on our systems.
- Technical information such as your IP address, browser and device type, pages visited and how you arrived at our site, collected through cookies and similar technologies.
- Information in client systems. When we provide IT, website or AI services, we may be able to access personal information held in your systems (for example emails, files or customer records). We access it only as needed to deliver the services, and handle it under our client agreement and this policy.
We don’t ask for sensitive information (such as health information) unless it’s genuinely needed for a service, and then only with your consent. You can deal with us anonymously or using a pseudonym where that’s practical, but we usually can’t provide services that way.
2. How we collect it
We collect personal information directly from you when you fill in a form, sign up to our emails, book a consultation, call or email us, or become a client. We may also collect it from publicly available sources (such as your business website or LinkedIn), from people who refer you to us, from our service providers, and automatically when you use our website.
3. Why we collect, use and hold it
- To respond to enquiries and provide quotes, consultations and free resources you ask for (such as an AI visibility check).
- To deliver, support, secure and improve our services, and to manage our relationship with you.
- To invoice, collect payments and keep business records.
- To send you service updates and, where you’ve agreed, marketing emails.
- To understand how our website is used and make it better.
- To protect our business and our clients, including preventing fraud and misuse, and to meet our legal obligations.
4. Marketing emails
If you subscribe or are a client, we may send you practical tips, news and offers. We comply with the Spam Act 2003 (Cth): every marketing email identifies us and includes an unsubscribe link, and we action unsubscribe requests promptly. When you sign up through our website, we ask you to confirm your email address before you’re added.
5. Who we share it with
We don’t sell or rent your personal information. We share it only where it’s needed for the purposes above, with:
- service providers who help us run our business, such as website hosting, email, cloud storage, newsletter, scheduling, accounting, payment and IT security providers;
- trusted contractors and technology partners engaged to help deliver your project, who are bound by confidentiality obligations;
- our professional advisers, insurers and financiers; and
- government bodies, regulators or others where required or authorised by law.
If our business, or part of it, is sold or restructured, personal information may be transferred to the new owner, who must handle it consistently with this policy.
6. Overseas disclosure
Some of our service providers store or process information outside Australia, for example in the United States, the European Union, the United Kingdom or Singapore. Where that happens, we take reasonable steps to make sure the provider protects your information in a way consistent with the APPs, such as choosing reputable providers with strong security and contractual privacy commitments.
7. AI tools and automated decisions
We use reputable AI tools to help with tasks like drafting, research and analysis. We don’t put your personal or confidential information into AI tools that use it to train public models, and a person reviews AI-assisted work before it reaches you. We don’t make decisions that significantly affect you using solely automated means.
8. Cookies and analytics
Our website uses cookies to work properly, remember your preferences (for example, not showing you the same pop-up twice) and, where enabled, to measure traffic and the performance of our marketing. You can block or delete cookies in your browser settings, although some parts of the site may not work as intended. Links to other websites aren’t covered by this policy; please read their privacy policies.
9. How we protect it
Security is our trade, so we apply the same controls to our own systems that we recommend to clients, including multi-factor authentication, encryption, access controls, monitoring and regular backups. No system is completely secure, but we take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, change or disclosure.
10. How long we keep it
We keep personal information only as long as we need it for the purposes above, or as required by law (for example, tax records are generally kept for five years). When we no longer need it, we securely delete or de-identify it.
11. Data breaches
If we become aware of a data breach involving personal information, we’ll act quickly to contain and assess it. Where a breach is likely to result in serious harm, we’ll notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
12. Accessing and correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it, by emailing info@austechnova.com. We’ll respond within 30 days. We may need to verify your identity first. If we can’t give you access or make a correction, we’ll explain why in writing.
13. Questions and complaints
If you have a question or concern about how we’ve handled your personal information, please contact our Privacy Officer at info@austechnova.com or on 0403 797 447. We’ll acknowledge your complaint within 7 days and aim to resolve it within 30 days. If you’re not satisfied with our response, you can contact the OAIC at oaic.gov.au or on 1300 363 992.
14. Changes to this policy
We may update this policy from time to time. The current version is always on this page, with the date it was last updated.
